Hiring: Part Time Admin – Architectural Firm

4D Architects designs quality custom homes for homeowner and builder clients throughout Washington. We have an established customer base, a full schedule of custom design projects, and currently have an open position for a Part-Time Administrative Support team member. We anticipate 10-15 hours per week to start, likely spread over 3-4 days per week.

We are looking for someone with good interpersonal skills,  detail-oriented with well-developed organizational skills and a conscientious work ethic; someone who is flexible and comfortable working in a support role to further a team effort to deliver a high quality work product. We encourage an enthusiasm for on the job learning, the job can expand to your capacities and interests. We are a small office, so the ability to “switch hats” to help with various tasks is critical.

Qualifications:

  • Administrative experience in a professional office, preferably an architectural or design firm
  • Proficiency with Microsoft Windows and Microsoft Office Suite (Word and Excel)
  • Experience using Microsoft Excel
  • Strong math skills for working with basic accounting and dimensional calculations
  • Ability to follow directions
  • Ability to take notes and organize written information
  • Ability to work independently and manage multiple tasks
  • Ability to maintain confidentiality

Duties include: 

Office organization tasks:

  • create project files and file project materials, maintain project list
  • log and file contracts, A/R invoices, scan & deposit incoming payments
  • maintain paper file organization, possibly organize/maintain network directories; archive and purge records as needed

General Office:

  • receive and screen incoming calls and email messages, process incoming mail
  • monitor and order office supplies, as needed
  • general “housekeeping” tasks, for example: keep kitchen & office tidy, occasional dusting, vacuuming
  • data entry and updating spreadsheet reports
  • proofread documents (correspondence)
  • basic copier and printer troubleshooting; schedule service calls

Marketing, as needed and if interested:

  • Facebook and Houzz updates
  • produce in-house marketing print materials

Other duties, as assigned, based on your interest level and experience
