Getting HR Help
Email be-hr@uw.edu. Include the employee or position involved, the assistance needed, the proposed effective date or deadline, and the applicable department, center, or program.
Include funding information and approvals when relevant.
Requests submitted by email create a UW Connect ticket. You can review updates and respond to questions through My Requests.
Keep related follow up messages in the original email thread so the complete request history remains together.
Provide:
- The employee or position involved
- The requested action or desired outcome
- The proposed effective date or deadline
- The department, center, or program
- Funding information when applicable
- Relevant approvals and supporting documents
The HR Team will identify any additional information required for the specific request.

Hiring and Appointments
Contact be-hr@uw.edu as early as possible. Hiring requirements and processing times vary by position type, appointment, funding source, and required approvals.
Do not make a formal employment commitment or establish a start date until the HR Team confirms that the necessary review and approvals have been completed.
Submit the CBE Short Term Faculty Hire Form. You must be signed in with a UW NetID to access the form.

Submit the CBE Student Hire Form. You must be signed in with a UW NetID to access the form.
Review the CBE Student Employment Information and CBE Student Compensation Guide before submitting the request.
An employee may begin working only after the HR Team confirms that the appointment and required employment steps are complete.
Supervisors should not allow an employee to perform work before receiving this confirmation.
Review the CBE Student Compensation Guide. The appropriate rate depends on the responsibilities, complexity, qualifications, and level of the position.

Review the CBE Visiting Scholar Policy and contact be-hr@uw.edu before extending an invitation or making a commitment.
Visiting scholar arrangements may require coordination involving appointment status, immigration, funding, access, space, and College approval.
Employment Changes and Separations
Email be-hr@uw.edu as soon as the change is anticipated.
Changes may include compensation, FTE, work schedule, appointment dates, position responsibilities, supervisory organization, costing, reappointment, or extension. Include the proposed effective date, business reason, funding information, and required approvals.
Notify the HR Team as soon as you know that an employee will leave CBE or end an appointment.
Early notice allows the College to coordinate final pay, system and building access, equipment, records, and other transition responsibilities.
Use the CBE Termination Form. You must be signed in with a UW NetID to access the form.
Contact be-hr@uw.edu if the departure is sensitive, involuntary, or requires confidential planning before the form is submitted.
Contact be-hr@uw.edu even when the individual will remain employed by UW. HR will determine the necessary employment actions and help coordinate the transition.
Time Off, Leave, and Accommodations
Employees should request and record routine time off in Workday and follow the approval practices established by their unit.
Questions about balances, eligibility, or the appropriate time off type may be directed to be-hr@uw.edu.
Contact the HR Team as early as possible when a request may involve an extended absence, medical leave, parental leave, accommodation, return to work plan, or another circumstance requiring individualized guidance.

Outside Work and Telework
Faculty and other eligible academic personnel must obtain approval when required before beginning outside professional work.

Employees should discuss a proposed arrangement with their supervisor. Supervisors may contact be-hr@uw.edu for help evaluating operational needs and applicable requirements.
Telework arrangements must continue to support the responsibilities of the position and the operational needs of the College and unit. An arrangement may be reviewed or changed when responsibilities, performance, staffing, or operational needs change.

Supervisory and Workplace Support
Supervisors should contact HR early when they need assistance with:
- Hiring or appointment planning
- Changes to duties, compensation, FTE, or work schedules
- Performance expectations or corrective action

- Extended leave, accommodations, or return to work planning
- Position review or organizational changes
- Reappointment, nonrenewal, transfer, or separation
Early consultation helps identify the appropriate process, documentation, and approvals.
